Employee time tracking software is vitally important to the daily operation of a company and its employees. The reason for this is that companies need to keep track of when employees come and go to the office, especially if they are paid hourly and not with a set salary. Hourly employees only make money when they show up to work and log their hours. Salaried employees get paid even if they call out of work because they are sick or are taking a personal day, since their salary is predetermined and is guaranteed while under contract. Salary employees typically do not need to clock in each day of the week since they are not paid based on how many hours they are in the office. An employee time tracking software system helps companies monitor the hours worked by their hourly employees, who are scheduled for certain hours per day, and are not allowed to go over or under those set hours. Employee time tracking software systems allow employees the ability to call in to a reserved phone number to clock in and call into the same number to clock out of work when their day is complete. If they do not have access to a landline, most time tracking software programs have mobile applications for BlackBerry and Android smart phones that allow employees to log onto the applications and clock in or clock out of work. The only problem here is that employees might be able to clock into work and clock out of work even if they are not in the office. So, make sure the software only allows the employee to make the phone call from their office phone. Also, make sure the mobile phone application can only be used when in the office, which can be done by using a specific tracking feature of the application. If the employees are calling in from a remote job site, this makes the call-in feature that much more necessary. Some of the features offered with employee time tracking using telephone timekeeping include unlimited clock in and out ability, (for those that track breaks and lunch), and location tracking, unusual time detection, voice authentication and alerts are part of the security measures built into the system. Project clocking, running work time, voice reports and edit requests are other convenient timekeeping features that are incorporated into the telephone timekeeping system. Data exporting, daily backups and scheduling features offer other convenience factors, which protect data, give you the information you need and help you avoid scheduling conflicts, among other things that this type of timekeeping system offers. Many employee time tracking software systems also offer reports once per day or once per week. The reports can be accessed from a website or through the time tracking company's data services. The reports will detail every single employee's clock in time and clock out time each day of the week. This allows the person in charge of payroll the opportunity to look over each employee's scheduled work time and their actual work time. If any problems arise between scheduled work time and actual work time, the payroll department can notify management and the problem can be resolved in a timely manner. Problems that can arise are employees showing up late for their scheduled shift, staying past their shift's scheduled end time (unless approved by management), employees not showing up at all and employees showing up too early for their shift (unless approved by management). These software systems can be expensive to install but if purchased from the right company they can be affordable and installed by trained technicians.
